Gear, software and props — a creator business that can actually be audited
Creator income becomes real long before creator bookkeeping does. Platform payouts, brand deals and affiliate revenue arrive from several sources, while the costs — a microphone, a ring light, an editing subscription, props bought for one video, a trip filmed as content — are spread across personal cards and app stores. When the first serious tax year arrives, most creators discover their deductions exist only as a bank statement they can no longer explain. ScanToSheet reads each receipt and invoice into your own Google Sheet, so the business side is documented as it is built.
Made for spending that is mostly digital
App-store charges, software invoices and marketplace orders are the bulk of a creator's costs. PDFs are read exactly like paper, with merchant, date, net, tax and gross written into your Google Sheet — so an annual editing subscription and a paper receipt for a prop end up in the same ledger.
No subscription stacked on your subscriptions
You are already paying monthly for editing, music, storage and hosting. Adding an expense tool with another recurring fee is the wrong direction. You pay per successful scan, three free to start, and nothing at all in a month where you do not scan.
Your content and drafts stay untouched
ScanToSheet reads the receipt you upload and has no access to your footage, drafts or the rest of your Drive. Documents are processed in the EU under GDPR, stored encrypted and deleted automatically within 24 hours.
What creators typically deduct
The line between hobby spending and business cost is exactly what a tax authority will probe — which makes contemporaneous records worth more than a reconstruction:
- Cameras and lenses — a body upgrade for higher-resolution uploads
- Audio equipment — a microphone and an interface for voice-overs
- Lighting — a key light and softbox for a home studio
- Editing software and plugins — the annual editing suite and a colour plugin
- Music and stock licensing — a library subscription for background tracks
- Props and set materials — items bought specifically for one video
- Storage and backup — external drives and cloud storage for footage
- Filming travel — transport and accommodation for a location shoot
- Contractors — an editor or thumbnail designer paid per project
- Website and hosting — domain renewal and hosting for your site
- Courses and coaching — a course on growing a channel
- Home-studio share — the deductible portion of the room you film in

Frequently asked questions
How do I separate business purchases from personal ones?
Scan only the business ones, and keep each as its own row with the date and merchant intact. A contemporaneous, itemised record is far more defensible than annotating a bank statement a year later — which is the position most creators end up in on their first audited return.
Do app-store and platform invoices work?
Yes. Emailed invoices and PDF receipts are read the same way as paper, so recurring charges from editing suites, storage providers and music libraries are captured with the same fields as a physical receipt for a prop or a light.
Can I track costs per video or per campaign?
Yes. Because the destination is your own Google Sheet, add a video or campaign column and filter on it. For sponsored work in particular, knowing the production cost against the fee is the difference between a profitable brand deal and an expensive one.
Is my footage or channel data involved?
No. ScanToSheet processes only the receipt or invoice you upload. It has no connection to your channel, your analytics or your video files, and each document is deleted automatically after 24 hours.
