Fuel, car washes and tolls — logged before you pull back out
Driving for Uber or Lyft turns your car into your largest deductible asset, and your deductions arrive as a fistful of thermal paper: a fuel receipt every other shift, a car wash before the weekend rush, a toll slip, an oil change, a phone mount that finally broke. Thermal ink fades in a hot windscreen within weeks, and the glovebox is where deductions go to die. ScanToSheet turns each slip into a row in your Google Sheet — snapped at the pump, not remembered in April.
A receipt is a row before you leave the forecourt
You are already holding your phone. Photograph the fuel slip at the pump and merchant, date, net, tax and gross land in your Google Sheet immediately — while the paper is still readable and while you still remember whether that fill-up was a working shift or your own weekend.
Pay per scan, which suits an income that moves
Rideshare earnings swing week to week, so a fixed monthly expense-app fee is exactly the wrong shape. You pay a flat amount per successful scan and nothing at all in a slow week. Three scans are free to start, and an unreadable, sun-bleached slip is never charged.
Your trips and locations stay yours
ScanToSheet reads the receipt you submit and nothing else. It is not connected to your driver app, your trip history or your location data. Documents are processed in the EU under GDPR, stored encrypted and automatically deleted after 24 hours.
What rideshare drivers typically deduct
Nearly every cost of keeping the car on the road is deductible in proportion to business use — and most of it arrives as small paper receipts that are easy to lose:
- Fuel or charging — a fill-up mid-shift on a Friday night
- Car washes and interior cleaning — a wash before the weekend rating rush
- Maintenance and repairs — an oil change, new brake pads, a tyre rotation
- Tyres — a set of winter tyres fitted in October
- Tolls and parking — an airport queue fee or a city toll
- Vehicle insurance and registration — the rideshare endorsement on your policy
- Phone and data plan — the share of your monthly bill used for driving
- In-car accessories — a replacement phone mount or a dashcam
- Passenger amenities — bottled water, mints, charging cables
- Vehicle lease or finance interest — the monthly payment on a car used for work
- Roadside assistance — the annual breakdown-cover membership

Frequently asked questions
Can I split personal and business use in the sheet?
Yes. Every scan is written as its own row, so you can add a column for business percentage or shift date and apply your split there. Keeping each receipt as a separate line — rather than one monthly total — is what makes an apportionment defensible if it is ever questioned.
Do faded thermal receipts still scan?
Usually, if you capture them early — which is the real argument for scanning at the pump rather than at year end. Thermal paper fades fastest on a hot dashboard. If a slip has degraded past the point of being readable, the scan is not charged.
Does it work with digital receipts from charging networks or apps?
Yes. PDFs and emailed receipts are handled the same as paper, so a charging-network invoice or an app-based toll statement lands in the same sheet as your paper fuel slips. Everything ends up in one ledger instead of split across your inbox and your glovebox.
Is my trip or location data involved in any way?
No. ScanToSheet has no connection to Uber, Lyft or any driver app, and it never sees your trip history or location. It processes only the document you upload, in the EU under GDPR, and deletes it automatically within 24 hours.
