Staging, signage and viewings — attributed to the listing that caused them
An agent's costs attach to specific properties: flowers and coffee for an open house, a photographer for one listing, a sign installed and later removed, fuel for six viewings in an afternoon, lunch with a client who may or may not sign. Spread across a portfolio, these are significant deductions — and because they are small and property-specific, they are usually reconstructed from memory months later. ScanToSheet writes each receipt into your Google Sheet as it happens, so a listing's true cost is visible while it still matters.
Costs that stay attached to the listing
Each receipt lands as a structured row, so a property or listing column lets you total spend per address and see what a sale actually cost you to win. Marketing spend that is invisible per-listing is spend you cannot manage.
A price that matches a commission-based income
Income arrives at completion, not monthly, so a monthly software fee sits awkwardly against it. Paying per successful scan means costs follow activity — heavy during a busy listing season, minimal when the market is slow. Three scans are free.
Client details do not leave the document
Receipts from client meetings and property services often carry names and addresses. ScanToSheet reads only what you submit, processes it in the EU under GDPR, stores it encrypted and deletes it automatically after 24 hours.
What agents typically deduct
Most of an agent's deductible spend is generated in the field, in small amounts, on behalf of a particular property:
- Vehicle fuel and running costs — an afternoon of six viewings across town
- Listing photography and video — a photographer booked for a single property
- Staging and styling — rented furniture and flowers for an open house
- Signage and printing — a board installed and removed after completion
- Portal and advertising fees — a featured-listing upgrade on a property portal
- Open-house catering — coffee and pastries for a Saturday viewing
- Client entertainment — lunch with a prospective vendor
- Licensing and association fees — annual registration or a board membership
- Continuing education — a required professional development course
- Office and CRM software — the monthly subscription for your CRM
- Professional indemnity insurance — the annual policy premium
- Gifts at completion — a closing gift for a buyer

Frequently asked questions
Can I see the total marketing spend for one property?
Yes. Add a property or listing column to your sheet and every scanned receipt can be attributed to it. Filtering by address then gives you the full cost of winning and selling that instruction, including the small items that usually escape the calculation.
Does it handle both invoices from suppliers and small card receipts?
Yes. A photographer's PDF invoice and a card receipt from a supermarket run before an open house are read the same way, with merchant, date, net, tax and gross extracted from each. They end up as neighbouring rows in the same ledger.
Is client information from receipts stored anywhere?
The document is processed in the EU under GDPR, stored encrypted and deleted automatically within 24 hours. The extracted fields go into your own Google Sheet, which stays under your control — the data is not retained afterwards and is not used to train anything.
Can my brokerage's bookkeeper work from the same sheet?
Yes, because the destination is an ordinary Google Sheet that you own. Share it with your bookkeeper or brokerage administrator exactly as you would any other spreadsheet; there are no per-user licences to add.
